# How to evaluate transport software when you run freight, warehouse and workshop

![JAIX Team](https://www.jaix.com.au/hs-fs/hubfs/Jaix%20logo.png?width=120&height=120&name=Jaix%20logo.png)

If you run freight, a warehouse and a workshop, the hard part is working out which products genuinely cover all three and which treat one or two of them as add-ons. This is a guide to telling the difference, written for operators who’ve decided to replace a legacy or disconnected setup and now have to choose what goes in its place.

It covers three things vendors don’t make easy to compare: what “integrated” actually means, how to evaluate the cost when nobody publishes prices, and what a migration really involves.

## What “integrated” actually means

Every vendor claims it. The word covers three quite different architectures, and only one removes re-keying.

1. **One database.** Freight, warehouse, workshop and finance read and write the same records. Nothing is copied because there’s nothing to copy between.
2. **Native integration.** Separate modules from one vendor, synced by that vendor. Better than nothing, and the breakage is theirs to fix.
3. **API available.** Two separate systems and a project. The breakage is yours.

All three appear on websites as “fully integrated”, so asking a vendor whether they’re integrated gets you nothing. Ask instead: “Is this one database, native integration between your own modules, or an API between two separate systems?” Naming the three forces a real answer. If it’s either of the last two, ask what happens to a job that’s halfway through when the sync drops out at 4pm on a Friday.

## How to evaluate the cost when nobody publishes prices

Software at this scale is almost always quoted on scope rather than listed at a price, because what you pay depends on complexity, fleet size, how many people use the system and how much migration is involved. That’s reasonable, but it means there’s no number you can benchmark against. There is still a way to compare them.

Ask every vendor on your shortlist to price the same seven things, separately:

1. **Licence or subscription**, and what drives it. Vehicles, users, devices, transactions? A per-user model and a per-vehicle model diverge sharply as you grow.
2. **Implementation.** Ask for an estimated total against an agreed scope, not just an hourly or daily rate. Then ask what happens if it runs over, and whether there’s a cap.
3. **Data migration.** How much history, and who does the work.
4. **Training,** and whether it’s one-off or available as new users join and the business grows.
5. **Integration build.** Connecting to anything the vendor doesn’t offer. If their product doesn’t cover your workshop or your warehouse, you’ll be paying someone to build that connection and keep it working. Ask for it to be quoted, because it usually sits outside the headline price.
6. **Annual support,** and what’s excluded from it. Ask where the support team sits.
7. **Development of new features.** If you need something the product doesn’t do yet, ask how it’s priced, how it gets scoped, and whether what they build becomes part of the standard product or stays a one-off you’re on your own with.

Ask each vendor what implementation looked like for their last three customers of your scale, and what made the final number differ from the estimate.

Remember: a low-cost licence with an expensive integration build is not a saving. The seven-line comparison is the only way to see it.

## What a migration involves

Buyers under-ask this one, and vendors are often vague about it. Four questions answer most of it.

1. **What moves.** Master data, customers, rates and open jobs move as standard. Closed consignment history varies by vendor, so ask specifically how much comes across live and how much lands in an archive. Decide early how much history you genuinely need in the new system, because it changes the quote.
2. **Who does the work.** Ask what the vendor’s staff do and what you’ll be expected to supply. Ask whether migration is handled in-house or passed to a third-party partner, and whether those people have moved anyone off your current system before.
3. **How the cutover runs.** Parallel running and hard cutover suit different operations. Ask which they recommend for a business your size, why, and what they did for their last three customers in a similar position.
4. **What happens in week one.** Ask who is physically in your depot at go-live, for how many days, and what the support arrangement is for the first month specifically.

   ![](https://www.jaix.com.au/hs-fs/hubfs/Data%20migration%20from%20legacy%20tms%20to%20modern%20cloud%20based%20JAIX-1-jpg.jpeg?width=2752&height=1536&name=Data%20migration%20from%20legacy%20tms%20to%20modern%20cloud%20based%20JAIX-1-jpg.jpeg)

## All questions, summarised in one place, to take to every vendor:

1. One database, native integration, or API available?
2. How is your pricing structured, and what do implementation and training cover?
3. What did implementation look like for your last three customers of my size?
4. Have you moved anyone off my current system? What was the process, and what were the roadblocks?
5. If I add a warehouse or a workshop in two years, is that a module you already have, or a new system?

The last one separates platforms from products. Plenty of good software fails it.

## When a multi-system stack is the right answer

Integrated isn’t always and automatically better. If you’re a small or starting business, or you are a broker and forward freight rather than carrying it under your own name, a single platform is more coverage than you need.

The honest dividing line is roughly this: the more of the operation you control end to end, from booking through to invoice, the sooner the cost of keeping several systems aligned passes the cost of replacing them.
